Kurz zusammengefasst
The Senior Administrative Assistant role supports Novartis' US Cardiovascular Metabolic General Management (CVM GM) Healthcare Delivery Prevention and Portfolio Pipeline teams. Working on‑site at the East Hanover NVS Campus under a hybrid model, the assistant helps the fast‑moving organization maintain strategic focus, smooth execution and cross‑team collaboration. Day‑to‑day duties involve leading all administrative functions for the two teams. The incumbent will act as a trusted partner, juggling multiple senior leaders' agendas, handling complex calendar and travel arrangements, processing expenses and purchase orders, and preparing meeting materials. Responsibilities also include coordinating team meetings, strategy sessions and off‑site events, ensuring agendas and pre‑reads are ready and distributed. The role serves as a central hub for cross‑functional stakeholder coordination, drives process consistency using AI tools, manages executive correspondence and documentation via SharePoint or Teams, and partners with internal communications and transformation groups to support leadership messaging. Compliance with Novartis policies, data‑privacy and confidentiality standards is required, as is collaboration with other executive assistants to provide backup and foster an on‑site community. Candidates must have at least a high school diploma, with an associate's or bachelor's degree preferred, and a minimum of five years of administrative experience supporting senior leaders in a global, matrixed environment. They need proven ability to manage complexity, competing priorities and rapid change, strong business acumen, and a proactive, solutions‑oriented mindset. Excellent organization, communication and stakeholder‑management skills are essential, as is a high level of discretion with confidential information. Advanced proficiency with Microsoft 365 (Outlook, Teams, PowerPoint, Word, Excel, CoPilot) is required, and comfort working in data, digital, technology or transformation‑driven settings is expected. The role also calls for collaborative work with other admins to support on‑site meetings, team‑building and ad‑hoc cultural projects. Preferred attributes include experience in data‑entry, diversity management, legal document preparation, office equipment handling, office management, scheduling, teamwork and time‑management. The position offers a salary range of $63,600‑$118,200, performance‑based cash incentives, potential equity awards, a comprehensive benefits package, 401(k) matching and generous paid time off. Novartis emphasizes an inclusive culture, equal‑opportunity employment and reasonable accommodations for applicants with disabilities.
